1. Who we are
Hotel Zephyr Manali ("Zephyr", "we", "us") is a hotel in the Kullu Valley, Himachal Pradesh, India. This policy explains what personal information we collect through this website and during your stay, why we collect it, and the choices you have.
For the purposes of applicable Indian data-protection law, Hotel Zephyr Manali is the party that decides how your personal data is used. Our contact details are at the end of this page.
2. Information we collect
We collect only what we need to confirm bookings, look after you during your stay and meet our legal duties.
- Booking and enquiry details: your name, phone number, email address, travel dates, number of guests, room preference and any message you send us.
- Check-in details: a valid photo ID for every adult guest and, for foreign nationals, passport and visa details, as required by Indian law (see section 5).
- Stay information: special requests, dietary needs, arrival time and services you use, such as dining or transport.
- Payment information: when you pay at the hotel or through a third-party payment provider, the provider processes your card or UPI details. We do not store full card numbers.
- Technical data: your browser sends your IP address and device details to our web host and to the services listed in section 7 when you load the site.
3. How the website handles your forms
This website does not run a booking database of its own. When you use the availability bar, the details you enter are placed into a WhatsApp message or an email draft that you choose to send, or are passed to our booking partner if one is connected. The enquiry form works the same way: it opens your email app or sends your message to our enquiry service. Nothing is sent until you press send or submit.
4. How we use your information
- To confirm availability, prices and bookings, and to reply to your enquiries.
- To check you in, arrange services you request and handle payments and invoices.
- To meet legal and regulatory requirements, including guest registration and tax records.
- To keep our guests, staff and property safe, including security records at the property.
- To send you updates only if you have subscribed to our newsletter. You can unsubscribe at any time.
- To improve our service and website, using feedback you choose to give.
5. Legal requirements for hotels in India
Hotels in India must keep a record of guests, including identity documents, and must report details of foreign guests to the authorities. We collect and keep this information because the law requires it, and we may share it with police, immigration or other government authorities when legally obliged.
6. Who we share information with
We do not sell your personal information. We share it only where needed:
- Service providers who help us run the hotel, such as our booking and reservation system, payment provider, email and messaging providers, and website host, each limited to what they need to do their job.
- Transport, guide or activity partners, but only when you ask us to arrange something for you.
- Government and law-enforcement authorities, where required by law or a valid legal order.
- A buyer or successor, if the business is ever sold or reorganised, who must honour this policy.
7. Third-party services on this website
Some content on this site is loaded from other companies, which means your browser contacts their servers and they may see your IP address:
- Google Fonts supplies the typefaces used on the site.
- OpenStreetMap supplies the map in the contact section.
- WhatsApp opens if you choose to send a booking request that way, and is governed by its own privacy terms.
This website does not use advertising trackers. If analytics or cookies are added later, this policy will be updated and, where required, we will ask for your consent first.
8. Cookies and local storage
At the time of writing, this website does not set cookies of its own and does not use browser storage to track you. Your browser or the third-party services above may set their own technical cookies. You can block or delete cookies in your browser settings; the site will still work.
9. How long we keep information
We keep booking and enquiry records for as long as needed to serve you and to meet tax, accounting and guest-registration rules, then delete or anonymise them. Newsletter details are kept until you unsubscribe. Where the law sets a minimum retention period, that period applies.
10. Keeping your information safe
We limit access to guest information to staff who need it, keep paper and digital records secured, and choose providers that use reasonable security measures. No method of storage or transmission is completely secure, so we cannot guarantee absolute security, but we will act promptly if we learn of a problem that affects you.
11. Your rights and choices
Subject to applicable law, you may ask us to:
- tell you what personal information we hold about you;
- correct information that is wrong or incomplete;
- delete your information, where we are not required to keep it;
- stop sending you marketing messages;
- withdraw consent you have given, without affecting what we did before you withdrew it.
To make a request, contact us using the details below. We may need to verify your identity first, and will respond within a reasonable time.
12. Children
Our website is meant for adults making travel arrangements. When a child stays with us, we collect only the details needed for the booking and registration, and we expect a parent or guardian to provide them.
13. Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last changed. Please check back occasionally; continued use of the website after an update means you accept the revised policy.
